# HubSpot

Connect **Open Letter Connect (OLC)** with **HubSpot** to automate your direct mail campaigns directly from your CRM workflows. When set up, HubSpot can automatically send mail through OLC and receive delivery updates back through a two-way sync.

This guide will walk you through each step of the integration, from creating your account to confirming that everything works.

### Step-by-Step: Connecting HubSpot to Open Letter Connect

#### Step 1: Add Open Letter Connect from the HubSpot Marketplace

1. Log in to your **HubSpot** account.
2. Click the **Marketplace** icon (small shop icon) on the top navigation bar.<br>
3. Select **App Marketplace**.
4. In the search bar, type **Open Letter Connect**.

5. Click the **Open Letter Connect** app tile.
6. Click **Install App** and follow the on-screen prompts.
   * HubSpot will ask for permission to connect your CRM data to Open Letter Connect.
   * Review and accept the connection request.
7. Once installed, you’ll see **Open Letter Connect** under **Settings → Connected Apps**.
8. You can also access OLC actions later inside the **Workflow Builder** under “Choose an Action.”

**Note:** If you start from a workflow first, HubSpot will automatically walk you through the same connection steps when you select the Open Letter Connect action

#### Step 2: Create an Open Letter Connect Account

If you don’t already have an OLC account, you’ll need one before setting up HubSpot integration.

1. Visit [**https://app.openletterconnect.com/signup**](https://app.openletterconnect.com/signup)<br>

2. Fill in your name, email, and password
3. After signing in, you’ll land on your **OLC Dashboard**

#### Step 3: Generate an API Key in Open Letter Connect

Once your account is ready, you’ll need an API key to connect to HubSpot.

1. In your **Open Letter Connect** account, click your **profile icon** in the top-right corner.
2. Select **Manage Users**.<br>

3. Click **API Keys** on the left menu.<br>

4. Click **Create New API Key**.<br>

5. In the pop-up window:
   * Name your key something like *HubSpot Integration*.
   * Select HubSpot.
   * Click **Save**.
6. Copy your API key from the list.

#### Step 4: Add the Open Letter Connect Action

1. In your HubSpot workflow editor, click the **+** button to add an action.<br>

2. In the search bar, type **Open Letter Connect**.<br>

3. Click the **Open Letter Connect** dropdown
4. Choose the mailer type you want to send:
   * **Send Self-Mailer (v1.2)**
   * **Send Real Penned Letter (v1.2)**
   * **Send Professional Letter (v1.2)**
   * **Send Snap Pack Mailer (v1.2)**
   * **Send Postcard (v1.2)**
   * **Send Personal Letter (v1.2)**<br>

#### **Step 5: Customize Your Mailer**

In this window, you can define what details will appear on your mailer.

1. **Select your template**
2. **Select Date:**
   * Choose when to send your mailer.
   * Use “ASAP” if you want it sent as soon as the trigger fires.
3. **Add or Use Custom Fields:**
   * If you have added custom fields in your Open Letter Connect templates, they will appear automatically in this screen.
   * You can map them just like standard fields, using HubSpot data.

4. **Review your setup:**
   * Double-check each field mapping for accuracy.
   * Confirm that addresses and variables match your HubSpot contact data.
5. When done, click **Save**.

**What happens next:**\
When your workflow trigger occurs in HubSpot, the selected mail type will automatically be created in your OLC account using your chosen template.

#### Step 5: Test Your Integration

1. In your HubSpot workflow, click **Test** at the top.
2. Select a test contact.<br>

3. Run the workflow.
4. Log in to **Open Letter Connect**.
5. Go to **Orders**.<br>

6. Check that the test contact appears as a new mail order.

If you see the order, your integration is working.

### Best Practices

* **Start with a test contact:** Always use a test record first to confirm everything works correctly before sending to real contacts.
* **Label your workflows clearly:**\
  Use names like *Send Mailer – New Lead Form* or *Postcard – Deal Won Follow-up* to avoid confusion.
* **Combine digital and physical channels:**\
  Use HubSpot emails or SMS together with OLC mail for stronger impact.
* **Keep your API key updated:**\
  If you create a new API key in OLC, remember to replace it inside HubSpot.

### Troubleshooting

* **Mail did not send:** Check that your workflow trigger is correct and that your workflow is turned on.
* **API key invalid:** Make sure the API key you pasted in HubSpot matches the one from your OLC account.

#### Uninstalling the Open Letter Connect App

If you ever need to disconnect Open Letter Connect from your HubSpot account, follow these steps:

1. Log in to your **HubSpot** account.
2. Click the **Settings** gear icon in the top-right corner.
3. In the left sidebar menu, go to **Connected Apps**.
4. Find **Open Letter Connect** in the list.
5. Click the app name to open its settings.
6. Click **Actions → Uninstall**.
7. Confirm that you want to uninstall the app when prompted.

Once removed, HubSpot will no longer send data to Open Letter Connect, and the integration will be disabled.

**Important Notes:**

* Uninstalling the app does **not** delete your Open Letter Connect account or any mail templates you’ve created.
* If you reinstall later, your templates and mail history will still be available once you reconnect.
